Custom Proposal & Date Confirmation
You’ll receive a tailored proposal covering venue rental.
Once you sign the venue agreement and submit an initial payment, your date is secured. You’ll receive onboarding materials: key deadlines, vendor access rules, certificate of insurance (COI) requirements, diagrams/floor plans, and content timelines for projections.
Production Scoping
Meet with our HDL productions team to scope lighting, audio, video, staging, immersive/projection elements, and any other elements you require to bring your vision to life.
Catering & Beverage Plan
Choose from HDL’s preferred caterers—or bring an outside team with prior approval and a buyout fee. We’ll coordinate venue guidelines (back-of-house layout, rental access, equipment power, waste removal) and align on bars, staffing, and service flow.
Full-Team Walkthrough
We host a joint walkthrough with your planner, caterer, production, rentals, and key partners to stress-test timing, backstage flow, comms, and contingencies. Final adjustments to the call sheet and show flow are made here.
