Policies & Logistics
Overtime can be arranged at an additional hourly rate. All extensions must be approved in advance by HDL’s operations team to ensure adequate staffing and security. We encourage clients to discuss timing needs early in the planning process to avoid unexpected costs.
For larger productions, clients may also arrange dedicated setup or strike days, booked at a reduced day rate depending on availability.
Load-in and load-out must be scheduled in advance through our operations team. Vendors use designated access points in the front (Chambers) and back (Reade) of the venue. Timing is coordinated to minimize disruption to neighbors while ensuring smooth production setup.
Yes. As a New York City landmark, Hall des Lumières is subject to preservation guidelines that help protect the building’s historic character. Certain elements are not permitted, including open flames, sparklers, certain pyrotechnics, or affixing décor directly to certain walls, floors, or ceilings. Our team will work closely with your planner and vendors to ensure all details align with both city regulations and the venue’s preservation standards.
Yes. All vendors are required to provide a certificate of insurance (COI) naming Hall des Lumières as additionally insured. This protects both you and the venue, and our team can provide exact insurance requirements to your planner or broker.
We recommend booking as early as possible to secure your preferred date, especially for peak months. While weekday and off-season dates may offer more flexibility, weekends and prime dates often book 6-12 months in advance.
Yes. Outside vendors may be approved for use at Hall des Lumières, subject to an outside vendor fee. This ensures approval with our operations team and maintains the high standard of service expected at the venue.
